Registration and approval for the conference is required prior to booking lodging within our room blocks.

Any hotel reservations in the eCap room block without a corresponding conference registration will be canceled without notice.
One (1) hotel room reservation can be made per registered attendee.

Please contact the hotel directly for name changes, arrival/departure changes, and/or cancellations.
Please refer to hotel confirmation emails for additional information.

Badges are required to attend any eCap event or function.
Your badge has your information on it. Badges cannot be shared or swapped.
Badges cannot be given to another attendee even if the original registrant has already left the conference.
Badges that are shared will be confiscated, and both parties may be blocked from registering for future events.

Misplaced or lost badges will incur a $1000 fee to replace during the conference.

Only owners and operators of healthcare facilities or networks can register online for the conference.
Vendors, ancillary businesses, brokers and lenders can only attend as event sponsors – please contact us to find out more about sponsorship opportunities.

Owners that also operate as vendors, ancillary businesses, brokers or lenders will be denied if registered online, and will be offered to attend as sponsors.

eCap reserves the right to deny and refund registrants at our discretion.

Guests (who are not registered for the conference) will have access to the lobby of the hotel, the spa, and the restaurants.
Guests will not have access to any of the meeting spaces and event venues, networking room, meals, panels, indoor and outdoor events, or activities.

Yes, however spouses can attend only when fully registered for the conference.

No. Attendees must be over 21 years old and fully registered for the conference.
Children under 21 will not be allowed into any event venue or activity.

No – registrants will be vetted according to our policies by our internal team, and will receive an email letting them know if they are or are not approved.

Flights/hotels should only be booked once you receive an email that your registration has been approved – do not confuse this with the pending email that is sent upon registration.
eCap is not responsible for any arrangements made prior to approval.

No. Service providers or ancillary businesses can only attend as sponsors.

You should receive a response within 48 hours of registration. If there is a question regarding your registration, you will receive an email from one of our team members, requesting more information.

Badges will be distributed on-site during registration.
The conference info desk will be open each day of the conference.
A photo ID is required to receive your badge.
Attendees must have their badge to access any eCap venue, event or activity.

Registration includes all event venues, meals, activities and functions.
It does not include hotel reservations.

No, all registrations must be completed online prior to the event. There will be no on-site registration. 

On or before 5/16/24:
Registrations are fully refundable if submitted in writing to info@ecapsummit.com, or through the contact form on our website.

After 5/16/24 (at 11:59 PM):
Registrations and cancellations received after this date are not refundable.

If your registration is denied you will receive a full refund.

Replacement of a registered conference attendee by a business colleague/co-worker within the same company and professional category may be accepted prior to the conference.
Substitutions cannot be made on-site.

eCap recommends business casual attire for the conference, and business attire for the gala dinner.

eCap has reserved a limited amount of rooms at a discounted rate for registered attendees at the Arizona Biltmore
The discounted rate will be available until the eCap room block is sold out.

There are also other hotels in the area.

Registered attendees are responsible for arranging their own accommodations.
